US Operations Assistant

This role will provide administrative and operations support to the BFFP US movement members and the BFFP US Coordination Team. The Assistant will also provide budget and grant development support to enable BFFP US’s small team to be able to facilitate and deliver the movement’s goals and strategies.

Job Description

Role Duration: As soon as possible in 2023 (ideally by February 1).
Salary and type: 20 hours/week, $30/hour [Some flexibility depending on experience and location].
Location: Remote work within the United States
Flexibility: Flexible working hours are required.
As this role works across time zones, working hours will occasionally be outside of normal office hours.
Some domestic travel may be required.
Reports to BFFP US Coordinator.
This role may have some supervisory responsibilities for consultants and third party suppliers as delegated

The BFFP US Operations Assistant will likely focus on

Tracks, maintains and reports on BFFP US Movement participation
Ensure strong documentation and records of members projects, support, and activities including:
Maintaining directories, logs, resource databases and action alerts.
Maintaining accurate member lists, contact persons, and information across databases and in conjunction with global member lists.
Maintaining records for membership activities and Movement building needs, including collating analytics and metrics and Grant’s Key Performance Indicators.
Resource Center development, management and maintenance, supporting members' access to information (toolkits, resource development, compiling resources produced by members).
Supporting the micro funds program (administration).
Planning and organizing online events, including capacity-building webinars, workshops, trainings, and BFFP US WG meetings for members.
Tracking grant documentation including drafting financial and narrative reporting.
Respond to members’ queries promptly.
Draft and track regular communication products with members (e.g. monthly email, help identify stories for digital channels)
Oversee third-party contractors depending on projects (i.e. venue contractors, event organizers)
Manage the operational budget as assigned.

The BFFP movement has more than 170 core member organizations working throughout the United States and a few members working in Canada.

PERSON SPECIFICATIONS: Knowledge, Skills, and Experiences

Essential

Minimum of 2 years experience of effective operations, budget management or community organizing (organizer, mobilizer or in an engagement role, in a paid or voluntary capacity.
Previous budget management or grant reporting experiences.
Experience with online information management.
Exceptional communications skills including written English language skills.
Computer literate, and experienced with Google Suite tools, as well as other media technologies, online organizational tools, and social networking tools.
Demonstrated ability to turn projects around in a timely manner, maintain attention to detail, and adhere to deadlines;
Experience working in remote/ distance-based teams
An understanding, passion, and knowledge of US social justice movements, within the environmental justice movement preferred.

Desirable

Collaborative team-player with strong interpersonal communication skills and demonstrated experience working with people from different cultures and nationalities.
Self-directed, takes initiative and is outcome and solution-focused.
Ability to speak or write in other languages.
